Web Forms

Overiew

Web Forms can be used to collect information from tenants and other parties in a reliable and consistent format. There are a number of default forms available for you to use on your property website (see below for examples).

Notifications

Most web forms are configured to send email notifications to the property manager when users submit a form. These email notifications can be customized as needed.

Without going into too much detail there is some not-so-obvious nuance related to setting up form notifications so they are sent to the right people. This nuance I’m referencing has to do with how form notifications are named. The rules are as follows:
  • If a form notification is named Admin Notification
    • The Send to Email field is ignored for this notifications and all admin users will receive form submission notifications
  • If a form notification is named Admin Notification Manual Recipient
    • The Send to Email field is honored and only users added to this field will receive form submission notifications

Additionally, regarding the Send to Email and From Email fields:

  • Send to Email field: Most properties use their property alias (i.e., blackwelder@kilroyrealty.com) instead of a list of specific recipient emails. This makes it easier to manage notifications long-term in the event you experience turnover or want to add someone as a recipient. Instead of having to add them explicitly to every form you can simply add them to the alias list and they will start to receive any notifications being sent to it.
  • From Email field: Similar to the above it looks like you have chosen to be explicit about entering your emails into this field. It is encouraged you to use {admin_email} for this feield. This will ensure the email notifications being sent come from Kilroy – Blackwelder (blackwelder@kilroyrealty.com). This applies to all form notifications—User Notifications and Admin Notifications.

Customization

In most cases any of these forms can be customized for your specific needs. Please submit a Sifter issue if a default form does not meet your property requirements.
